How accurate is the AI extraction?

For clear photos of standard receipts, accuracy on merchant, total, and tax is typically above 95%. Crumpled, blurry, or rotated images work too — the pipeline handles them automatically. You can edit any field by hand if something comes out wrong, and we keep the original so you can revert.

What file formats can I upload?

Phone photos (JPG, PNG, HEIC, WEBP, AVIF), desktop scans, TIFFs, and PDF invoices. Multi-page PDFs are supported. Images are compressed in the browser before upload so a 4 MB phone shot ends up at ~500 KB on the wire.

How does my team join a project?

The project owner shares an 8-character invite code. New members sign up, paste the code, and they're in as contributors. There's no per-seat fee and no admin approval in between — contributors only see their own receipts, managers see everything.

How is my data secured?

All traffic uses HTTPS. Receipt files and account data are stored on managed cloud infrastructure with strict access controls and encryption at rest. Passwords are securely hashed, and ProjScan never sees your password if you sign in with Google. Stripe handles payment cards; we don't store them.

What happens if I run out of receipts mid-month?

Uploads return a clear 'insufficient balance' message and the dashboard suggests upgrading or buying a one-off receipt pack. Packs of 10/50/100/1,000/10,000 accumulate on top of your subscription and don't expire for 24 months.

Can I cancel anytime?

Yes. The Customer Portal lets you cancel, downgrade, or switch billing intervals without contacting us. Cancellation takes effect at the end of the current period; you keep access until then. Prepaid receipt packs you've already bought remain usable for their 24-month window.

Does the export work with my accounting software?

The XLSX export has merchant tax ID, line-item VAT breakdown, totals, and category in the columns most accounting software expects — Xero, QuickBooks, Sage, FreshBooks, Zoho Books, and country-specific tools alike. Paste-and-import works; direct API integrations are on the roadmap.

Do you support electronic invoicing mandates like Verifactu, MTD, or SdI?

Extraction captures the data those regimes require — merchant tax ID, issue date, line-item VAT, subtotal, total, currency. The XLSX export is the bridge today for compliance workflows; direct submission integrations to specific national regimes are on the roadmap.

What's the difference between a manager and a contributor?

Managers see every receipt in the project, edit any field, add or remove members, and export the data. Contributors only see their own receipts and can't see what others uploaded or the project budget. Each user can be a manager in some projects and a contributor in others.

Is there really a free plan?

Yes — 5 receipts a month, no credit card. It's enough to scan a full work trip or a small client engagement and see whether the extraction quality matches what you need before paying.

Do you offer annual billing?

Yes. Annual plans are 20% cheaper than monthly on every paid tier (Starter, Pro, Business). Switching billing intervals happens in the Customer Portal and prorates correctly mid-period.
